Proofing was where we started. Getting artwork signed off without a 20-message reply chain was the problem we set out to fix, and it's still at the heart of what we do. But it turned out to be only one stage of the job.
We heard you
The feedback from shops was consistent: a clean proof is great, but the rest of the job still lived in five inboxes, a shared drive and somebody's spreadsheet. The quote was in one place, the mock-ups in another, the order on a whiteboard and the PO typed up from scratch. Every hand-off was a chance for something to slip.
And the same three questions kept coming up:
- !"Where is that job?" Status lives in whoever last touched it — someone's head, someone's inbox, a sticky note on a monitor.
- !"Did they approve it?" Somewhere in the thread there's a "looks good." Probably. Maybe it was for the old version.
- !"They ordered how many?" Minimums missed until the supplier calls — then you're re-quoting, apologizing, or eating the difference.
Answering those meant following the job further than the proof. So we did.
So the product grew
Trakkables Flow is the whole job, in one tracked pipeline from quote to PO:
- 01QuotePriced, branded, sent with the PDF attached
- 02Mock-upWin the job with the visual
- 03ProofPer-line client sign-off
- 04OrderYour production board, your columns
- 05POReal purchase orders, stock deducted as you go
One customer record. One catalogue. One board. Nothing re-typed between stages. An accepted quote becomes the order — no re-keying.
The name changed because the product did.
What's new in Flow
Here's what grew out of that feedback — each piece aimed at a hand-off that used to happen by email, memory or re-typing.
Priced quotes with your currency, terms and saved line templates. A branded send email with the quote PDF attached.
Up to ten files a line — PDF, AI, EPS, PNG — with full revision history. A two-item job can go to production on the item that's cleared while the other proof is still out.
Drag-and-drop, with your column names, an owner on every card, rush flags, firm-date markers, a due date that goes red when it slips, and a sortable list view for "what's due first."
Every line is checked against your catalogue before the order is ever saved — enforced or waived per account. You know at order entry, not when the supplier calls.
Send a client a link. Their order lands on your board tagged as theirs, with minimums enforced or waived per account — your call, per customer.
Drop in a customer's PDF, a phone photo of their printed order, or paste their email. Flow reads it into the order form for you to check and confirm.
Orders become actual POs, built from your products and inventory. Order form, picking, shipping and artwork sheets: one click each.
Materials linked to products and deducted per order, with reorder points, low-stock flags and a run-out projection from your own consumption rate.
Push orders straight into the Google Sheet your team already lives in, column by column, on your mapping.
Customers, products and quotes move in and out by CSV — and the quote export comes back in exactly the shape the importer reads. No lock-in.
We're still listening
Flow exists because shops took the time to tell us what wasn't working. That isn't a one-time event — it's how we build. We've listened, we're listening now, and we'll keep growing the product around the way real shops actually run.
So tell us: which stage eats the most time in your shop right now? What would you want Flow to do next? Email jeff@trakkables.com — or leave a comment at the bottom of this page. Every note gets read.
Who it's built for
Flow is designed around the day-to-day of shops running real order volume without an enterprise system behind them:
- Promotional distributorsSmall teams running real order volume
- Decorators & suppliersTaking work in from distributor clients
- Print shopsSignage, decals, wide format
- Box & packagingCustom runs with artwork approval
And it wasn't built in a software lab. It was built in a real promo shop. If your shop runs on five inboxes, a shared drive and somebody's spreadsheet, this was built for you.

It's time to go with the flow
Proofing got us started. Flow is where your whole job lives now — quote to mock-up, proof, order and PO, with nothing re-typed between them. We'd love to show you how a job moves through it, using your own volume.
Quote to PO. One flow.
